Terms & Conditions
The following are our terms and conditions of placement for our students with a host family. These must be signed by the lead applicant of every host family before they can accept our guests.
Placement
Groups of either 2, 3 or 4 students will normally be placed per family for short stay visits. We will only ever place students of the same sex with a host family. Placement will be monitored throughout the stay if you should have any problems please notify the organiser responsible or this office as soon as possible. By accepting guests from Cultural Connection, you agree that your home will be kept to our standards of cleanliness, safety and state of repair. Upon receiving a complaint we may deem it necessary to visit the accommodation this includes unannounced inspections during a stay only. Occasionally it may become necessary to move a student(s) either at the request of the teacher in charge or the family. In either of these cases payment will be made on a pro-rata basis.
Accommodation
Your guests should have their own single, twin, triple or quadruple room. There must be adequate space for the students to move around and place their suitcases. They MUST have their own bed and mattress protectors should be fitted to all student beds. Sofa beds and fold up ‘z’ beds are not acceptable. The home must be clean, safe and to a good state of repair and decoration. Upon application all host families will be visited by a local organiser to ensure it meets our standards.
Full Board
This means three meals a day, breakfast, packed lunch & evening meal with a dessert. Please allow your guests to share your evening meal wherever possible. Packed lunches should be substantial and include 2 rounds of sandwiches (4 slices of bread or two large rolls), a piece of fruit, packet of crisps, a chocolate bar/biscuit, and always include a drink. Bottled water is fine preferable.
Half Board
Some of the stays we offer will be on a half board basis. This means you are only required to provide breakfast and an evening meal with a dessert. Please check your daily itinerary for each group as it differs. Some bookings may contain days where both full board and half board meals are required.
Daily arrival & departure
Your guests should be accompanied to & from the specified meeting place on a daily basis. You must never leave the students at the drop off point prior to the agreed meeting time or without an organiser or group leader/teacher present. On occasions where you may have to use a taxi service, you must inform your Local Organiser that you plan to do this and provide a reason why. Taxis must never be used on arrival night. Students should NEVER be out alone, even if they are over 18 years old.
Whilst our students are placed in your family; I must remind you that we would be in breach of contract if you were to welcome other students into your home whose native language is the same. Agents can withhold payment in such cases. Agents can withhold payment in such cases . Please advise us if you plan to have other students in your home when accepting a placement from Cultural Connection. No family should offer accommodation to more than four students at any one time unless it has been agreed adequate facilities are available.
All our students take out comprehensive insurance cover, as a precaution we would advise that all host families should inform their own insurance company their intention to welcome students into their home. It is important that any damages be reported to the student and Cultural Connection before departure, we will be happy to assist in settlement of any damage claims, which will be made in the student’s country of origin. It is always a good idea to do a ‘sweep’ of the student’s room and bathroom before they leave to ensure they haven’t left anything and also check for any abnormalities.
NOTE: NO INSURANCE CLAIMS CAN BE ACCEPTED FOR BEDS WITHOUT MATTRESS PROTECTORS OR “ZBEDS” FOLD UP BEDS ETC.
Payment
Payment is made to the bank details you provide via BACS transfer every Wednesday after the group arrives. You can update your bank details under the payment section of your hosting profile when logged into the dashboard.
